Here is roughly what I do every morning (or evening before):
Lookahead:
- GCal ahead 2W+: anything new that requires preparation tasks?
- Calendar boards etc, copy to GCal
- Scheduled Ticklers, ahead 2W+, High Energy & Long Duration only
Task input:
- GCal: make sure all today's calendar events are listed as tasks
- Gmail
- Evernote
- Voice memos
- SMS
- Pockets, desk, intray, other email
Verify/adjust:
- Frequent routine checklist, select as appropriate
- Someday, High Priority only, if time allows only
- Active projects, check/move subsequent to Next
- Waiting, High & Medium Priority only (followup required?)
- Next, High & Medium Priority only
- Focus/Today
Please note that the use of Priority is a "personally evolved" kind of GTD, which allows me to check things at intervals that feel more appropriate to me (it both saves time and allows me more chances to catapult promising Someday things into action). The basic GTD approach would be to check all Next and all Waiting but none of Someday.
